PROCUREMENT DESK / USER GUIDE
A clear start.
Procurement Desk is a downloadable browser tool for organizing project selections and understanding the costs entered. This guide also applies to the limited live demo where noted.
1. Open the tool
Download the ZIP after payment, extract it, and open Procurement-Desk.html in a current desktop browser. Keep the included guide and license. The sample project uses fictional selections and prices.
2. Set up your project
Choose New project. Enter the project name, studio, client, currency, and any deposit already received. A project uses one currency; changing the currency label does not convert the amounts.
3. Enter each selection
Choose Add selection. Quantity is a whole number. Supplier cost and client price are per unit. Freight and installation are totals for the entire line, not per-unit charges. Client prices should reflect the amount you intend to bill, including any costs you recover through that price.
4. Read the totals
Landed cost is quantity × unit supplier cost, plus line freight and installation. Gross profit is client revenue minus those entered costs. Gross margin divides gross profit by revenue. Deposits affect the outstanding balance, not revenue or gross profit. Overpayments appear as a credit balance. Amounts exclude taxes and expenses not entered.
5. Keep a backup
Save on this browser stores the project locally where supported. Browser storage can be cleared, may be unavailable in private browsing or local-file contexts, and does not sync. Use Download backup after important edits. Import the .procurement.json backup to restore the project on another browser or computer. Never rely on browser storage as your only copy.
6. Prepare a client proposal
Choose Client proposal, then Print / Save PDF in the new window. Allow pop-ups if necessary. The proposal includes item names, rooms, quantities, selling prices, project subtotal, deposit, balance, and client notes. It excludes supplier costs, vendors, procurement references, internal margin, and order status. Review your notes before sharing; anything you type into Client notes will appear on the proposal.
7. Export internal data
Internal CSV includes supplier costs and margins. Use it for your own records or accounting workflow, not as a client proposal. Text beginning with spreadsheet formula characters is prefixed for safer export.
Limits and support
Up to 500 selections per project. This version has no supplier integrations, team sync, accounting connection, exchange-rate conversion, automatic tax calculation, or automatic order placement. It does not require an AI subscription. It is designed for current desktop browsers; full browser-by-browser compatibility verification remains in progress for this initial release.
Contact scherliving@gmail.com with the browser name, what happened, and your order reference if purchased. Avoid including confidential client files unless specifically needed and agreed.
